Job Description

Join the award-winning Toronto Public Service as a Program Support Trainee providing administrative support and assistance as part of the Work Based Learning program.

Job Responsibilities:
Your primary responsibilities as a Program Support will be varied. Specifically, you will:
- Prepare, type and format documents
- Receive general inquiries both in person and over the phone
- Provide information, document requests and findings for information and direct inquiries to appropriate staff to answer question and/or handle requests
- Input, update and maintain paper and electronic files and records used by the division
- Assist with collecting data and assembling information packages for various projects, assignments and operations
- Assist others with drafting documents, correspondence etc.
- Assist with setting up meetings and appointments; record and circulate meeting minutes
- Support the team in organizing events, including scheduling, preparing materials, and coordinating logistics
- Provide administrative support to the team including maintaining project documents, findings for information and direct inquiries to appropriate staff to answer question and/or handle requests
- Conducts research and analysis as needed to support project deliverables
- Communicate with staff members to foster effective collaboration and timely completion of tasks
Key Qualifications:
- Experience providing administrative support
- Experience with Microsoft Word, and knowledge of how to prepare, type and format documents
- Strong communication skills both in person, over the phone and in writing
- Ability to input, update and maintain paper and electronic files and records used by Infrastructure and Development Services
- Ability to work well independently and as part of a team
- Knowledge or experience in project implementation and delivery support is an asset
